Long-term tape retention can still have a place in an IT strategy, but the day-to-day operational burden becomes harder to absorb as data grows. Synology’s recent account of Toyota Motor Vietnam offers a practical reminder: resilience is not only about retaining a backup copy; it is also about being able to monitor, test and restore it when the business needs it.
According to Synology’s ActiveProtect case study, Toyota faced annual data growth of 10% to 30%. Adding and rotating tapes required manual effort, while backup operations and recovery could take days. The organisation moved to separate protection policies for critical systems and daily workloads, using immutable backups and off-site replication for critical virtual machines and servers.
Start with recovery priorities, not storage media
A useful first step is to classify workloads by the impact of downtime. Identify the systems that need the shortest recovery target, then define how often they need to be protected, how long copies must be retained and where a recoverable copy should reside. This gives the backup design a business purpose rather than treating every workload identically.
For critical workloads, build protection around more than one copy and more than one location. Synology describes Toyota using immutable backups with off-site replication as part of a 3-2-1-1-0 approach. The important operational question is whether the copies can be restored, not simply whether a scheduled job completed.
Reduce manual handling with central visibility
Manual media rotation, transport and isolated reporting can create avoidable gaps in oversight. A centrally managed backup environment helps teams review backup progress, copy status and storage use from one place. That visibility can make exceptions easier to spot before they become a recovery incident.
Synology reports that Toyota used a management server to monitor distributed backup environments across five remote sites. For a growing business, the same principle can be applied at a smaller scale: establish one routine for reviewing protection status, investigate failed or delayed jobs promptly and document who owns each recovery decision.
Make recovery testing a regular workflow
Backups provide limited assurance until recovery is tested. Synology says ActiveProtect enabled Toyota to perform recovery testing in a built-in sandbox, moving testing from a process that could take days to one that could be completed in minutes or within an hour. The case study also reports a shift towards weekly or monthly testing rather than infrequent testing.
A practical testing cadence might include restoring a representative file monthly, validating an application or virtual machine quarterly, and recording the actual recovery time and any dependencies discovered. Keep tests isolated from production wherever possible, define success criteria in advance and use the results to improve recovery runbooks.
Design for resilience and confidence
Synology’s case study reports that Toyota reduced recovery objectives from days to minutes, alongside lower operational effort. Results will vary by environment, workload and configuration, but the broader lesson is clear: automated copies, immutable protection, off-site replication and repeatable recovery tests can reduce the uncertainty that surrounds an outage.
