3CX has added more subscription-management options to its customer portal. Businesses can now combine edition and simultaneous-call downgrades, and customers using Hosted by 3CX can remove hosting when renewing.
That flexibility is useful. It also means a renewal decision can now change capacity, features, deployment eligibility and—in the case of hosting removal—the existence of the hosted instance and its data.
This is not a button to press casually. Before changing a 3CX subscription, the business should confirm what it uses today, what the lower tier permits, where the system will run next and how the change will be tested.
What changed in the 3CX Portal?
According to 3CX's 5 August 2026 announcement, customers can now manage several renewal changes directly in the 3CX Portal:
- Downgrade simultaneous calls (SC) while renewing.
- Combine an SC change with an edition change.
- Mix directions—for example, upgrade SC while downgrading the edition, or the reverse.
- Remove Hosted by 3CX hosting at renewal.
3CX says these actions are currently available in the Portal rather than through its Ordering API. For businesses and service providers, that makes the Portal the control point for the change.
A licence change is an operational change
Simultaneous calls, extensions, edition features and hosting are connected to how the phone system operates. A lower subscription may look sensible on paper, but the real question is whether it still fits the organisation's busiest periods, routing design, contact-centre activity, integrations and growth plans.

Five checks to complete before downgrading or removing hosting
1. Measure real simultaneous-call demand
Do not choose a lower SC tier from the number of employees alone. Look at peak inbound and outbound call activity, queues, ring groups, call recording, conferencing, SIP-trunk capacity and seasonal spikes. The objective is not to pay for unused capacity, but it is equally important not to create congestion during the periods when customers are trying to reach the business.
2. Confirm the extension limit
3CX's Maximum Extension Policy applies when moving to a lower licence size or removing hosting. The system's extension count must fit the target tier before the downgrade can proceed.
This check should include active users, common-area phones, service extensions and any old or test entries that should be cleaned up. Removing extensions without understanding their purpose can break routing, device assignments or operational workflows.
3. Verify hosting compatibility
For Hosted by 3CX customers, 3CX states that an SC downgrade is limited to tiers using the same allocated hosting resources. Its Hosted Info guidance should therefore be checked before assuming every lower tier is available.
If the organisation intends to leave Hosted by 3CX, decide where the system will run next. That may be an approved cloud environment, an on-premises deployment or another suitable hosting arrangement. The decision should account for access, monitoring, backups, security, maintenance ownership, internet resilience and support—not just the server price.
4. Take and validate a full backup
3CX warns that removing hosting while an instance is running permanently deletes the hosting instance and its data. It specifically recommends taking a full backup and saving it locally first.
A backup file is only one part of the exit plan. Confirm where it is stored, who can access it, whether the file completed successfully, whether any required encryption password is available and whether the target deployment can restore it. The business should also preserve the configuration and migration evidence needed for support and audit purposes.
5. Plan the timing and commercial impact
3CX says a downgrade must be combined with a renewal of at least one year, must remain within the five-year licence-validity limit and takes effect immediately. Remaining licence time is retained, but removed features or hosting are lost immediately, with no refund or credit.
That makes timing important. A change close to expiry may be sensible; an early downgrade can remove value and capabilities the business has already paid for. Schedule the work around a documented change window, with responsible people available to test inbound calls, outbound calls, queues, applications, messaging and any integrations after the change.
What a proper 3CX hosting exit plan should contain
A practical change plan should state:
- the present and target 3CX edition, SC tier and deployment model;
- the current extension count and confirmed target limit;
- the destination infrastructure and who will manage it;
- the full-backup location, validation result and restore owner;
- SIP-trunk, number, firewall, DNS and certificate requirements;
- dependencies such as CRM, Microsoft 365, messaging or call-reporting integrations;
- the migration sequence, change window and rollback decision points;
- the post-change test list and business sign-off owner; and
- ongoing monitoring, patching, documentation and support responsibilities.
The exact plan will differ between organisations. The point is to remove guesswork before a portal action changes the live service.
