Overview
Blue Chip Ledger Automation is an internal-use software tool operated by Blue Chip Technologies Ltd. The tool connects authorized Blue Chip users to QuickBooks Online through Intuit APIs to support internal accounting workflows.
This policy explains what data the tool accesses, how it is used, and how it is protected.
Data the Tool Accesses
Depending on the accounting workflow being performed, the tool may access or process:
- QuickBooks Online company and realm identifiers;
- QuickBooks Online account, vendor, purchase, and attachable records;
- OAuth access and refresh tokens issued by Intuit;
- receipt files, notes, and transaction metadata provided by authorized Blue Chip users;
- operational logs needed to verify successful processing and diagnose errors.
The tool is not designed to collect consumer marketing data or to sell, rent, or share personal information for advertising.
How Data Is Used
The tool uses data only to:
- authenticate to QuickBooks Online using Intuit OAuth;
- create or verify approved accounting entries;
- attach supporting documentation to QuickBooks Online records;
- prevent duplicate posting;
- refresh or revoke OAuth tokens;
- troubleshoot internal operational issues.
Data Sharing
The tool sends accounting data to Intuit QuickBooks Online only as required to perform authorized accounting actions.
Blue Chip Technologies Ltd. does not sell data collected by the tool. Data may be disclosed if required by law, regulation, audit, or a legitimate internal compliance process.
Token and Credential Protection
OAuth tokens are stored in a local token store protected by application controls. Production token storage is configured to use AES-256-GCM encryption, and the encryption key is stored separately in Blue Chip's password vault.
Client secrets, OAuth tokens, and temporary QuickBooks attachment URLs are not intended to be printed in logs, chat messages, or user-facing status updates.
Data Retention
QuickBooks Online records are retained according to Blue Chip Technologies Ltd. accounting and compliance practices and Intuit's service behavior.
Local operational data is retained only as long as needed for authentication, duplicate detection, troubleshooting, and internal audit purposes.
Access and Revocation
Access is limited to authorized Blue Chip personnel. QuickBooks Online authorization can be revoked through Intuit account controls, QuickBooks Online app settings, or Blue Chip internal administration.
