Automatic Source Updates for Your Gemini Notebooks

Workspace Studio now lets you set up recurring workflows that automatically add sources to your Gemini Notebooks. Think Drive files, web links, YouTube videos, even plain text—all flowing into your notebooks without you lifting a finger.

For a T&T business, this might look like:

A sales team that automatically pulls the latest product spec sheets from Drive into their pitch prep notebook
An HR department keeping their policy notebook updated whenever new compliance documents drop
A project manager who wants meeting recordings and relevant web articles added to a project brief automatically

No more "I forgot to update the notebook" moments. The information stays fresh because the system handles it.

How It Actually Works

You'll use the new "Add a source to Gemini Notebook" step in Workspace Studio. Set it up once as part of a workflow, define what sources you want added and when, and let it run. That's it.

Your admins don't need to do anything special if Gemini for Workspace steps are already enabled. End users can jump straight into Workspace Studio and start building.

Who Gets This?

The feature is rolling out now (started August 6, 2026) and is available across:

Business Starter, Standard, and Plus
Enterprise Standard and Plus
Education plans (including AI Pro for Education)
AI Expanded Access add-on

So whether you're a five-person firm in San Fernando or a larger operation in Port of Spain, you likely have access.
