A single WhatsApp handset can't function as a call centre. When customers start phoning your WhatsApp number in any real volume, you'll hit the wall fast: one call at a time, one person answering, everyone else getting a busy signal or no answer at all. The fix isn't abandoning the number your customers already have saved—it's bridging those WhatsApp voice calls into a proper IP PBX so they behave like every other business line.

What actually happens when the WhatsApp number gets busy

Picture the scene. You've been using your WhatsApp Business number for a couple of years. Customers love it—they tap the number, it rings, someone answers. Simple.

Then business picks up. More enquiries. More calls. And now you've got a problem.

The phone sits on one desk. One person can answer it. If they're on a call, the next caller hears nothing—no queue, no "please hold", just endless ringing or a failed connection. If that person steps away for lunch, the phone keeps ringing. If they're off sick, it doesn't ring at all because nobody else can log in without logging them out.

Sales wants the phone. Support wants the phone. Accounts wants to call a customer back. There's one device.

After hours? The phone sits on a desk in an empty office. Customers calling from overseas in a different time zone get nothing. No voicemail, no announcement, no indication that you're closed.

You can't see what was missed unless you scroll through the app manually. There's no report, no log you can export, no way to know if the same customer called three times and gave up.

This isn't WhatsApp's fault. The app does exactly what it was designed to do: let one person make and receive calls on their phone. It was never meant to be a multi-agent contact centre.

Why the mobile app was never built for a team

WhatsApp and WhatsApp Business are personal communication tools. They're brilliant for what they are. But they have hard limits that matter once you're running a team:

  • One active call per number. While you're talking to one customer, everyone else is locked out.
  • One device signed in at a time (for voice). Linked devices handle chat, not calls.
  • No call queue. There's no "you are third in line" message. Callers just don't get through.
  • No transfer. If the wrong person answers, they can't pass the call to a colleague mid-conversation.
  • No presence. You can't see who's available before routing a call to them.
  • No business-hours logic. The app doesn't know it's 10pm on a Sunday.
  • No recording or CDR. If you need call records for training, compliance or dispute resolution, you're out of luck.

Some businesses try workarounds—a second number, a shared tablet, a rota for who holds the phone. These create their own headaches and still don't solve the one-call-at-a-time problem.

The real answer isn't a different chat app or another number for customers to remember. It's keeping the WhatsApp number they already have and routing those calls through infrastructure that was actually built for teams.

What changes when WhatsApp calls land on your PBX

When you connect your WhatsApp number to an IP PBX using a SIP for WhatsApp bridge, inbound WhatsApp voice calls arrive at your phone system like any other SIP trunk.

That means:

  1. Calls ring multiple extensions. A ring group of five agents can all see the incoming call. First to answer takes it.
  2. Queues hold callers in line. If everyone's busy, the caller hears hold music and waits instead of bouncing off.
  3. Transfers work. Blind transfer, attended transfer—hand the call to the right person without asking the customer to call back.
  4. Presence shows who's available. Route calls to agents who are actually at their desks.
  5. Business-hours schedules apply. After 5pm, callers hear an announcement and can leave a voicemail or be routed to an on-call mobile.
  6. Recording and reporting. Whatever policies you've configured on your PBX—call recording, CDR logs, reporting dashboards—apply to WhatsApp traffic too.
  7. AI receptionist option. If you're using an AI receptionist on your PBX, WhatsApp callers can interact with it. (There's no DTMF menu—WhatsApp doesn't support touch-tone input.)

The customer's experience barely changes. They tap the same number, it rings, someone answers. They don't know or care that the call is now landing on a 3CX system or an Asterisk box instead of a handset on a desk.

Simultaneous calls on the same WhatsApp number

Here's the part that matters most for growth: the regular WhatsApp app handles one call at a time on a number. That's it. One.

The SIP bridge supports simultaneous concurrent calls on the same WhatsApp number. Capacity is sized in blocks of 2, with a minimum of 2 concurrent calls per number. So if you have one WhatsApp number connected, you can handle at least 2 calls at once. Three numbers? Minimum 6 concurrent calls.

This is the difference between a phone on a desk and actual call-handling capacity. You're no longer capped by how many people can physically stand near one device.

What you keep

You keep the WhatsApp number. Customers don't need to update their contacts or learn a new way to reach you. The number they've saved, the one on your signage and your invoices, keeps working.

You keep the familiarity. For customers who prefer WhatsApp over dialling a landline—and plenty do—nothing changes on their end.
